The problem it solves

Front-desk staff are often new, part-time, or non-technical. When something unfamiliar appears, one of three things happens.

It does two jobs

“How do I…?” — guidance

Short, numbered, click-by-click steps that name the actual buttons and screens — Check In, Payment Information, Recalculate, Tapechart. It is the trainer who is never busy and never sighs.

“Why is…?” — explanation

For a question about a specific reservation, room or amount, it reads the real data first, then explains in plain language: why a balance is outstanding, why a total looks doubled, where a cancellation fee landed in the report.

Grounded in your live data

The assistant is not a chatbot answering from a manual. It queries your property in real time before it replies — reservations and folios, room and housekeeping status, arrivals and departures, availability and rate quotes, occupancy forecasts, outstanding balances, guest profiles, and breakfast counts for tomorrow morning.

It will not invent data. If a lookup returns nothing, it says so rather than producing a plausible answer. For a system that front-desk staff will trust with money questions, that rule matters more than fluency.

It also explains jargon the first time it appears — “folio (the guest's bill)” — and replies in whatever language the question was asked in.

It advises. You decide.

By default the assistant changes nothing. It reads, explains, and gives your staff the steps — the human does the clicking. That is deliberate: an assistant that quietly edits a folio is a support problem waiting to happen.

Guided actions, where the assistant can drive the admin UI through an approved playbook, exist as a separate switch that is off by default and enabled per property, per role. You turn it on when you trust it, not before.

Every conversation is logged against the hotel and user, and each property carries its own daily spend cap, so AI usage can never run away with your bill.

Questions

Does the AI assistant cost extra?

No. It is part of the platform, and the PMS itself is free forever with no room limit. Each property has its own daily usage cap so costs stay predictable.

Can the assistant change my reservations?

Not by default. It reads your data and tells your staff which buttons to press; the person does the clicking. Guided actions that let it drive the admin UI are a separate setting, off by default, enabled per property and per role.

What if the assistant does not know the answer?

It says so. The assistant is built to refuse rather than guess — if a lookup finds no matching reservation or figure, it reports that instead of producing a confident-sounding answer that is wrong.

Which language does the hotel AI assistant reply in?

The one your staff asked in. It also explains hotel jargon on first use, which matters when a new receptionist meets the word "folio" for the first time.

Is my hotel's data used to train an AI model?

Your data is sent to the configured model provider only to answer the question in front of it, and conversations are logged in your own account for your review. If you have a specific compliance requirement, ask us before enabling it — we would rather answer that honestly up front.
