Before comparing anything, sort every option into one of these four buckets — it resolves most of the confusion in about a minute:
- Free forever, capped. Full product, but limited to a small number of rooms. Fine at four rooms, a wall at seven.

What a B&B actually needs from free software
A B&B is not a small hotel. It is usually owner-operated, often in the owner's home, with breakfast included, a handful of rooms, and no front desk staff. That changes the requirements:
- A calendar one person can read at a glance. There is no night auditor. The owner needs tonight's arrivals visible in two seconds, on a phone, usually while doing something else.
- A direct booking engine without commission. B&Bs win on repeat guests and word of mouth; paying commission on a returning guest who typed your name into Google is pure leakage.
- Breakfast counts and dietary notes. Trivial to a hotel PMS, central to a B&B. How many for breakfast, at what time, and who is gluten-free.
- Automatic guest communication. Arrival instructions, key-safe codes, parking notes. In an owner-operated property this is the single biggest time saving available.
- Payment handling that does not need a terminal. Deposits and balances taken online, before arrival.
- Simple, defensible pricing. Seasonal rates and a two-night minimum on weekends — not a revenue-management engine.
What a B&B usually does not need, despite being sold it: channel-manager connections to three hundred OTAs, yield-management automation, multi-property consolidated reporting, or a dedicated revenue module. Two or three channels and a good direct engine covers most properties at this size.
Where the money actually goes
The case for a commission-free direct engine is stronger than it was, because the OTA share is higher than it was. Cloudbeds' 2026 State of Independent Hotels report — based on more than 90 million bookings across 180 countries — put OTA share of independent bookings at 63.4%, and found independent RevPAR down 5.4% year on year. For a property with five rooms and no marketing budget, shifting even a fraction of that mix to direct is the highest-return change available.
The same research found that 67% of independent operators name disconnected systems as a core operational problem, and that properties lose one to two working days a week to manual reconciliation. In an owner-operated B&B those days come out of the owner's own week — which is exactly why running the calendar, the booking engine and guest messaging in one place matters more here than it does in a hotel with staff.

How to judge a free plan honestly
Five questions that separate a genuine free tier from a trial with better marketing:
- What is the room cap, and what happens at the cap? If the answer is a sales call, plan for it now rather than in your second season.
- Is the direct booking engine included, and is it commission-free? These are two separate questions and vendors often answer only the first.
- Can you export your data? Reservations, guests and rates, in a standard format, without asking. If not, the free tier is a lock-in mechanism.
- What exactly is paid? Get the list in writing. “Free PMS” sometimes means the calendar is free and everything that makes it useful is not.
- Does payment processing carry a markup? Some free plans recover their cost in the payment rate rather than the licence fee.

When free is the wrong answer
Free stops being right at a predictable point. If you are connected to more than three or four OTAs and changing rates daily, you need a channel manager, and that is a paid product everywhere including here. If you run several properties under one business you will want consolidated reporting.
